Data Protection Statement

The Old Abingdonian Club (OA Club) is managed by the Old Abingdonian Club Committee (OA Club Committee) with support and funding from the OA Club Office, which is part of the Development and Alumni Relations Department at Abingdon School. Abingdon School has a full Data Protection Policy available via its website.

 

What data do we collect?

The personal data that the OA Club collects consists of name, date of birth, address, degree course, interests, achievements, career details, and other information that you may have given us at the time of registration with the Club or subsequently.

Data about Old Abingdonians (OAs) will usually be collected directly from OAs at the point of leaving the School, but some data may be collected from third parties (other OAs,OA parents or siblings,  Linkedin, social media, career events etc).

How we use your data

For the purposes of the Data Protection Act 1998 (DPA) and the General Data Protection Regulation (GDPR - coming into force in May 2018), Abingdon School is the 'data controller' of data about Old Abingdonians (alumni). Alumni data will be processed strictly in accordance with the DPA and GDPR and in the legitimate interests of the Club in order to:

  • Communicate and promote the events and activities of the OA Club and Abingdon School

  • Send invitations and information about forthcoming events and activities of the OA Club and Abingdon School

  • Send publications, such Abingdon News (termly Abingdon School newsletter) and the Griffen (annual OA Club magazine)

  • Fundraise for bursaries, facilities, and various projects and activities critical to Abingdon School

  • Carry out any other tasks critical to achieving the constitutional objectives of the OA Club

 

Who has access to your data

Data about alumni is held securely in a database of Abingdon School and is treated confidentially and with sensitivity for the benefit of the OA Club and Abingdon School. Such data may be made available upon request to academic and administrative departments of Abingdon School, elected members of the OA Club Committee, OAs who assist the OA Club Committee as representatives from their respective year group and OAs who volunteer to lead alumni events (in the case of OAs helping with events, this information will be limited to name and email address). The data will not be disclosed to third parties or external organisations other than those acting as agents for the OA Club or Abingdon School and the data is not transferred overseas. Personal data is kept for the purposes of the administration of OA Club for the period of time an individual wishes to remain a member of the Club.

Where an Old Abingdonian makes his personal data visible (i.e. published) within the Old Abingdonian Club Members' Area, it will be accessible only to those who are approved and registered users of the Old Abingdonian Club Members' Area.  By registering with the Old Abingdonian Club Members' Area, users agree that they will not misuse any information published there, that their use of such published information will be for personal use only, and that they will not pass any information to third parties unless explicitly required to do so by UK law.  Any registered user of the Old Abingdonian Club Members' Area found to be violating any of these agreements will have his account suspended and access terminated indefinitely at the sole discretion of the OA Club.

Subject rights under the DPA/GDPR

Old Abingdonians, as data subjects, have certain rights under the DPA and GDPR, including a right to be given access to data held about them by any data controller and a right to be removed from our database. You also have the right to opt out of the use of your data for any of purposes specified above. Should you wish to opt out or be removed from our database or access your data, please contact the OA Club in writing.
